Booking & Cancellations
Policy
This Booking & Cancellation Policy applies to bookings made with AeroNorth Aviation Detailing.
We understand that aircraft schedules can change unexpectedly. Our cancellation policy is designed to provide Clients with reasonable flexibility while protecting the time, travel and resources reserved for confirmed bookings.

Bookings may be requested by:
Telephone.
Email.
Website enquiry.
Social media.
Direct agreement with AeroNorth.
Submitting an enquiry does not automatically reserve a date.
A booking becomes confirmed once AeroNorth has:
Accepted the requested booking;
Confirmed the agreed service, date and location; and
Received any required booking deposit.

AeroNorth may require a deposit for:
Larger detailing packages.
Full aircraft details.
Private jet services.
Helicopter services.
Multi-aircraft bookings.
Fleet work.
Travel-dependent bookings.
Specialist restoration or correction services.
The required deposit will be clearly stated before the booking is confirmed.
The deposit forms part of the total service price and will be deducted from the final balance.

Unless different terms have been agreed in writing, the following policy applies.
More Than 72 Hours Before the Booking
You may cancel or reschedule without a standard cancellation charge.
Any deposit paid will normally either:
Be refunded; or
Be transferred to another agreed booking date.
Between 36 and 72 Hours Before the Booking
A cancellation charge of up to 25% of the agreed booking value may apply.
Where a deposit has been paid, some or all of the deposit may be applied towards this charge.
Less Than 36 Hours Before the Booking
A cancellation charge of up to 50% of the agreed booking value may apply.
No-Show / No Aircraft Access
Where AeroNorth attends the agreed location but:
The aircraft is not available.
Access has not been arranged.
Required permission has not been obtained.
The Client or responsible representative cannot be contacted.
We are otherwise prevented from starting because of circumstances within the Client's control,
we may charge reasonable costs and losses arising from the failed booking, potentially up to the full booking value where justified.

AeroNorth will not seek to retain more than is reasonably justified by losses resulting from the cancellation.
Relevant costs may include:
Lost working time.
Non-refundable travel costs.
Airport or parking charges.
Materials purchased specifically for the job.
Accommodation where reasonably required.
Other costs already committed.
Reasonable loss of profit where the cancelled booking cannot reasonably be replaced.
Where reasonably possible, AeroNorth will take steps to reduce losses, including attempting to fill the cancelled appointment.

Where sufficient notice is provided, we will normally allow the Client to transfer a booking to another suitable date.
Repeated rescheduling or rescheduling at very short notice may be treated as a cancellation where AeroNorth has incurred reasonable losses.
Any additional travel, airport or access costs associated with the new date will be discussed before confirmation.

We recognise that aviation operations are subject to last-minute changes.
Where an aircraft becomes unavailable because of:
Flight scheduling.
Charter operations.
Maintenance.
Aircraft-on-ground events.
Airport restrictions.
Hangar changes.
Operational requirements,
Please contact AeroNorth as soon as possible.
We will make reasonable efforts to reschedule the service rather than cancel it.
Where AeroNorth has already incurred significant non-refundable costs, those costs may remain payable.

Certain exterior services may not be safely or effectively completed in:
Heavy rain.
High winds.
Snow.
Ice.
Extreme temperatures.
Unsafe apron conditions.
Other unsuitable environmental conditions.
If AeroNorth decides that weather conditions prevent the service from being completed safely or to an acceptable professional standard, we will normally offer an alternative date without imposing a cancellation charge on the Client for our decision to postpone.
Where indoor/hangar facilities are available, work may proceed where safe and permitted.

AeroNorth is not responsible for cancellations or delays caused by airport, FBO, hangar or security restrictions outside our reasonable control.
We will work with the Client to find an alternative date or location where practicable.
Reasonable costs already incurred may remain payable where they cannot be recovered.

If AeroNorth needs to cancel a confirmed booking for reasons within our control, the Client will be offered:
A replacement booking date; or
A refund of any payment relating to services that have not been provided.
We will not charge the client a cancellation fee where AeroNorth itself cancels the service.

Multi-aircraft, fleet, major correction, specialist detailing and travel-intensive bookings may require bespoke cancellation terms because substantial time or costs may be committed in advance.
Any different cancellation conditions will be clearly stated in the quotation or service agreement before confirmation.

Your name or company.
Aircraft registration or description where appropriate.
Booking date.
Location.
Whether you wish to cancel or reschedule.
The cancellation time will normally be the time at which your cancellation notice is received by AeroNorth.

Where a refund is due, AeroNorth will process it using an appropriate payment method as soon as reasonably practicable and in accordance with applicable legal requirements.
Any lawful cancellation charge or agreed non-refundable cost will be explained where relevant.

If work is delayed because AeroNorth cannot access the aircraft at the confirmed time, we will make reasonable efforts to complete the booked service.
However, depending on later commitments, the service may need to be:
Reduced.
Rescheduled.
Completed at an additional agreed cost.
Where a substantial delay is caused by circumstances within the Client's control, reasonable waiting-time or rescheduling costs may apply.

Additional services requested on the day are subject to:
Available time.
Suitable equipment and products.
Site permission.
Aircraft condition.
An agreed additional charge.
We cannot guarantee that unbooked additional work can be completed during the original appointment.

By confirming a booking with AeroNorth Aviation Detailing, you acknowledge that you have been given access to this Booking & Cancellation Policy and agree to it, subject to any statutory rights that cannot legally be excluded.
